Reporting to the V.P. Corporate Supply Chain is responsible for managing all activities of the Regional Operations center (ROC). This position is also the Corporate Supply Chain liaison for all third party service providers to the ROC providing matrix leadership to the other YNHHS services residing within the ROC in conjunction with applicable direct service leaders. Serve in a leadership role with other management staff from across the Yale New Haven Health System to advance the organizational goals of patient safety, standardization, reduction in variation, appropriate utilization and cost reduction. Coordinates warehouse operations systems by determining product handling and storage requirements; developing, implementing, enforcing, and evaluating policies and procedures; developing processes for receiving product, equipment utilization, inventory management, and shipping.
Responsible for coordinating all activities, future business plans and daily operations for the ROC and associated services provided to the Yale New Haven Health System.
Responsible for ongoing communications to keep Yale New Haven Health System entity management and clinical customers well informed and well served.
Interacts as required with system department management and staff (customers), finance department management and staff, legal counsel, senior administration, clinical and physician staff, internal audit, corporate compliance and human resources. Interacts with external contacts including sales representatives and executives, Group Purchasing Organization, other hospitals and health systems, and other Hospital and Health System business partners.
Responsible for researching and identifying additional opportunities and/or revenue generating activities that can bring value to the Health System. Directs staff and provides guidance on complex contracts that effect the ROC. Provides input to strategic decisions that affect the functional area of responsibility. Responsible for overall staff, third party service providers and the budget for the ROC. Capable of resolving escalated issues arising from operations and requiring coordination with other departments.
Responsibilities: 1. Achieves ROC operational objectives by contributing warehouse operations information and recommendations to strategic plans and reviews; preparing and completing action plans; implementing production, productivity, quality, and customer-service standards; resolving problems; completing audits; identifying trends. 2. Meets ROC operations financial objectives by forecasting requirements; preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions. 3. Develops ROC efficiencies by determining product handling and storage requirements; developing, implementing, enforcing, and evaluating policies and procedures; developing processes for receiving product, equipment utilization, inventory management, and shipping. 4. Develops ROC operations improvements by analyzing process work flow, manning and space requirements, and equipment layout; implementing changes. 5. Maintains safe and healthy work environment by establishing, following, and enforcing standards and procedures; complying with legal regulations. 6. Responsible for planning and implementing against annual cost reduction targets inclusive of both operating and capital associated with the ROC. 7. Participate in negotiations as needed to ensure a market competitive package is obtained for all services provided to the ROC and such services that reach out into the Health System. 8. Understands and takes full advantage of GPO contracts and offerings where appropriate. 9. Attends, facilitates or leads discussions with senior leadership across departments and/or delivery networks to ensure the communication of project objectives and business plans to gain support and buy-in of suggested opportunities. 10. Cultivates and maintains strong relationships with leadership across the Health System. 11. Management of staffing requirements and Human Resource issues. 12. Accountable for coaching, guiding and mentoring the ROC Team to improve the efficiency of the team?s performance and to facilitate their professional development. 13. Conducts timely orientation and annual performance reviews on assigned staff; counsels and develops performance improvement plans as required. 14. Engage and work closely with key departments, project managers, and/or end users to support the sustainability/green efforts of the process as appropriate. 15. Participation in regional and national supply chain groups to ensure Yale New Haven Health System is fully informed on leading practices in the health care supply chain. 16. Provides vision and leadership to staff in a collaborative environment that offers job satisfaction, recognition and stimulates innovative thinking to accomplish goals and objectives. 17. Leads by example, successfully demonstrating the personal attributes defined in the Yale New Haven Health System Mission, Vision and Values.
Bachelor Degree in healthcare, Business, Supply Chain related field is required. Masters preferred.
Minimum of ten years professional work experience within distribution / warehouse management, preferably in healthcare. Previous 5-10 years of management or leadership experience required.
Ability to organize resources and establish priorities. Excellent verbal and written communication and presentation skills. Demonstrated ability to navigate across departments and delivery networks to achieve results. Demonstrated ability to successfully resolve complex problems across multiple departments and/or delivery networks. Serves as the department?s subject matter expert and resources in area of expertise (warehousing, inventory, logistics, etc.) Firm grasp of principals of finance, capital assets management, analysis, and reporting. Good team building, task force development, facilitation, and problem analysis and resolution skills. Self-motivated with good time management skills. Must be goal oriented and flexible.
Accountable for the development of staff and effective management of the ROC in order to maintain budget and. Accountable to the Health System business plan and site level business plan goals and customer needs. Directly reporting to the V.P. Supply Chain.
This position is responsible for managing the ROC and all associated third party providers and business plans. Develop and create Strategic relationships with both key internal (Physicians, Executives, etc.) and external (Vendors, GPOs, stake holders, etc.) to allow for the maximization of current and new opportunities. Responsible for managing the supplier diversity and local business initiatives as appropriate in the areas of responsibility. Maximize overall effectiveness of the ROC and day-to-day operations. Ensure all activities are in compliance with overall Hospital and Health System policies and procedures.
Must have the ability to travel to various sites across the health system.
