SUMMARY
Performs a wide variety of administrative
and support duties to ensure operational effectiveness of the House Staff Office
EEO/AA/Disability/Veteran.

(%) RESPONSIBILITIES
Provides clerical and communication
support to ensure efficient communication between residents /fellows and House
Staff Office. This will include, but not limited to:

Oversees resident reimbursement process. Assurance
T & E form is completed fully and accurately. All receipts are included and
match submission. Verifies 100% compliance with mandatory training codes form
with appropriate cost center. Submits to Medical Director for signature. Processes
and follows-up on all issues
Monitors compliance with mandatory
training including follow-up and reporting
Oversees resident/fellow verification
process. Logs all verification requests. Ensures appropriate release
accompanied the request. Pulls file and completes verification (from prior
verification in file.) Submits to Medical Director for signature. If no prior verification
present in file, flags for Medical Director to complete. Processes and
follows-up on all issues, repeat requests etc.
Utilizes MEDHUB (GME Information System) Learns
basics of using system within first month. Maintains/keeps licensure fields
up-to-date, including uploading licenses. Runs basic reports as requested
Creates and Maintains Resident
Lists/Spreadsheets for both internal and external use. Creates lists for
Incoming residents, Outgoing residents, 340B lists, permit lists, orientation
lists as needed throughout the academic year.
Maintains privacy and confidentiality of
House Staff Information at all times.
Assists in preparation of minutes,
agenda, materials, ordering food for Medical Education meetings
Assists with annual events sponsored by
Medical Education
Processes invoices, check requests and
purchase orders electronically
Maintains all House Staff files (both
active and prior years)
Other duties as required. Stocking
supplies/materials in Resident Lounge twice daily. Ordering supplies for House
Staff Lounge and GME. Picks up mail and distributes daily. Picks up/delivers
FedEx's as needed. Copies and files as requested.

REQUIREMENTS
EDUCATION

Bachelor's degree preferred, High School
Diploma required
EXPERIENCE

Three (3) years in an office setting,
preferable medical office or hospital. Excellent communication, interpersonal
and organizational skills
SPECIAL
SKILLS:
Experience working with Microsoft word,
Excel and PowerPoint necessary. Must be able to multi-task and prioritize work.
Willingness and ability to learn Residency Management Information System (Med
Hub)

the file room bending and reaching to file
