The Office Manager will perform secretarial, business and clerical duties for regional Emergency Services. Responsibilities include managing the day to day operational functions.. Responsible for producing an appropriate schedule to assist emergency services leadership ensure appropriate staffing and preparation and posting of final departmental schedule specifically for physicians and physicians assistants. Will collaborate with system resources and emergency services professionals to ensure appropriate and timely departmental orientation and education. Operational responsibilities include budget analysis and research.. Position requires high degree of interaction with client groups and other hospital departments and excellent management of multiple priorities. Provides direct support for the ED Medical Director as well as emergency services leadership.
Responsibilities: 1. Identifies, collates and records statistical data and transforms into concise and understandable formats by utilizing appropriate HRIS (i.e. INFOR, Kronos, Epic). 2. Creates, reviews, edits and executes written documents requested by Medical Director. Will work on special projects as assigned. 3. Acts as liaison using independent judgment to receive and resolve client problems and/or complaints related to office issues. Represents emergency services in management forums to assure clear and accurate communication and appropriate follow-up. 4. Responsible for ensuring appropriate staffing through the preparation and posting of office work schedule. Tracks time off for appropriate medical staff. 5. Coordinates schedule for Medical Director ensuring that ED has clinical coverage and communicates properly to others as to the Directors schedule. 6. Recommends, initiates and oversees process quality improvements for all appropriate areas in ED. 7. Meet performance expectations for Resource Utilization, Customer Service, Self-Development and Teamwork as outlined in performance review. 8. Develops and manages organizational processes, to ensure the most efficient and effective way of doing business within the structure of emergency services 9. Responsible for monitoring and development of department budgets. Works with medical staff leadership to assure remains within budget guidelines. 10. All other duties as assigned to ensure smooth operation of the dept./units.
Associate Degree or Medical Secretary Certification required, Bachelor?s Degree preferred.
3 to 5 years of administrative support required. At least 2 years managing a high volume medical office.
Proficient in Excel, Word and other specialty software.
Requires excellent customer service skills and the ability to multi-task. Medical terminology highly encouraged.
