Summary:The Real Estate Specialist (Specialist) is responsible for managing the leasing process and implementing leasing strategy for leased and owned properties within the Health System, including Greenwich Hospital\u2019s residential real estate. Reporting to the Director of Real Estate while working with senior leadership and third party brokerage; the Specialist will formulate real estate strategies, negotiate lease renewals and physician session agreements, while evaluating target acquisition leases and executing consolidation strategies. The Specialist works with property owners/management insuring locations are properly maintained consistent with System operational requirements; while working with Accounts Payable/Receivable insuring timely payment/collection of rent and operating expenses. Utilizing ProLease software, the Specialist shall maintain the inventory of System properties and lease expirations.
Responsibilities: \u2022 1. Search, identify and negotiate for locations to satisfy System requirements; renegotiate existing lease terms for expiring leases. Analyze current and potential future locations to optimize portfolio efficiencies and make cost reduction recommendations. Utilize lease database software system (ProLease), including tracking of leases, expirations and costs; standard and ad hoc reporting.
\u2022 2. Planning and analyzing new growth opportunities; properties for acquisition, new leases, contractions, relocations and market opportunities. Regularly convey findings to management in a clear, concise manner.
\u2022 3. Property Development: Coordinate third party leasing - including the use of outside brokers, site acquisition, asset acquisition/disposition, analyzing market conditions and working with developer and owner representatives. \u2022 4. Manage residential portfolio including leasing, resident housing, compliance and other related matters.
\u2022 5. Coordinates Property Finances with Finance Department: Annual budgeting, operating reports, rent statements, accounts payable/receivable, aged delinquencies. Including payment/collection of rents, utilities, real estate taxes and operating expenses.
\u2022 6. Coordinate workflow and efforts amongst various functional areas including Real Estate, Legal, Finance, Facilities, Administration and Human Resources.
\u2022 7. Responsible for the following duties related to Tenant Services: lease administration (ProLease Software), tenant relations/call response, communications planning, coordinate tenant moves, market survey updates, compliance reporting and resolving tenant issues.
\u2022 8. Review quarterly physician lease expiration reports insuring lease renewals are completed well in advance of lease expirations.
\u2022 9. Verify all pertinent documents are submitted with each lease prior to lease execution and ProLease abstracting including: Lease Approval Form, Lease Compliance Attestation Form, Fair Market Opinion (when required) and other required documentation. Insure all pertinent documents are provided to ProLease Administrator for uploading to ProLease database.
\u2022 10. When required, work with System Real Estate leasing team to obtain Fair Market Value from 3rd party brokers or appraisers working with our System to support compliance requirements
\u2022 11. Responsible for the following duties related to Building Services: vendor management, preventive maintenance, energy management, repair and maintenance, construction management, scheduling and property maintenance. Ensuring work is completed efficiently, properly and within budget.
\u2022 12. Able to set clear goals and direction; works well both independently and as part of a strategic team. Participates in and supports the development, mentoring and coaching of staff. Understands YNHHS vision, goals and strategies and communicates well throughout the organization.
Bachelors Degree in Business Management or a related discipline required.
5-10 years direct experience in commercial real estate and property management industry; licensed Real Estate professional strongly preferred.
Real Estate Broker or Salesperson License strongly preferred.
Ability to analyze properties for program suitability, financial viability and make assessments of same, presenting all data in a summary fashion. Sound business judgment and contract negotiation skills required. Demonstrated ability to negotiate complex commercial real estate transactions. Strong personal computer skills including lease tracking software database, Excel, Word and presentation software experience. Strong interpersonal, verbal and written communication skills are a must for this position. Responsive, effective, timely communication to both NEMG and the System Director of Real Estate is critical.
The Specialist will be the front line person representing the System in real estate related matters and as such will need to be professional in appearance and conduct at all times. Must possess the ability to prioritize all necessary processes, projects, and requests both internal and external to the System.
Managing multiple priorities in a fast paced, dynamic, interactive, expanding organization is a constant challenge in this position.
Must be mobile and travel to all sites throughout the System. Hours of work may vary as necessary. Significant amount of walking required along with the ability to walk through and negotiate buildings and spaces without assistance or reasonable accommodation.
