Summary:
Working under the general direction of the Revenue Cycle Financial Experience Coordinator, the project manager is responsible for all aspects of projects including: work flow analysis, project development efforts, determining systems and technology requirements, coordinating resources, establishing governance structure, documentation, testing and managing communications about the project. Facilitates project planning, tracking costs and schedules, mitigating project risks and ensures the delivered product meets expectations for quality and functionality. Acts as a liaison between vendor representatives, CBS leadership team, IT and individual customers tracking project requests and managing all assigned projects from discovery phase through implementation. Is prepared to communicate and present project status at all times.

Responsibilities:
  • 1. Project Management:
  • 1.1. Prepares business proposals and presentations to effectively communicate analysis to appropriate stakeholders and gain support/ buy-in of suggested project improvements. Participates in discussions with senior leaders to determine priorities and alignment with strategic objectives.
  • 1.2. Responsible for effectively communicating analysis to appropriate stakeholders, to gain support and buy-in of suggested improvements. Works closely with systems analysts group to understand ongoing continuous improvement initiatives and impact to assigned projects.
  • 1.3. Prepares reports, analyses and presentations utilizing all Microsoft Office Software products including Excel and PowerPoint. Seeks out other forms of presentation tools available to enhance delivery, making more effective and impactful.
  • 1.4. Develops detailed project plans to ensure the efficient and timely implementation of process improvements. Plans and schedules project goals, milestones and deliverables.
  • 1.5. Liaisons between operational managers and systems areas to investigate, conduct research and develop solutions to work flow and /or systems issues including the coordination of vendor demonstrations when external products are involved.
  • 1.6. Responsible for managing project team to ensure project plan objectives remain on target and are achieved in accordance with the deadlines. Manages all changes and issues with stakeholders.
  • 1.7. Coordinates all specific activities to ensure strategic goals are achieved. Exhibits leadership qualities to define requirements and risks for project
  • 1.8. Support acceptance testing, review and redefine test plans to ensure plans are complete and validate testing.
  • 1.9. Effectively identifies, tracks and manages resolution of project issues to ensure timelines are met.
  • 1.10. Identifies gaps in processes, features and tools. Anticipates resource demand changes and makes recommendations in advance to meet changes.
  • 1.11. Ensures issues are clearly presented, options frames appropriately and prompts recommendations so a course for resolution is established. Updates and maintains project risks, assumptions, actions, issue logs on behalf of operational project team.
  • 1.12. Functions as a change agent and advocate for all CBS initiatives and supports Revenue Cycle Experience Coordinator to guide leadership team and staff regarding all projects related to the Patient Financial Experience.
  • 1.13. Upon the successful completion of assigned projects, responsible for developing the appropriate analytical tools to track performance on an on-going basis.
  • 2. Communication:
  • 2.1. Interacts and interfaces closely with the operational managers, senior leadership, ITS, clinical departments and vendor representatives.
  • 2.2. Communicates the requirements from the members of project team and stakeholders to technical teams (internal and external).
  • 2.3. Positively promotes departmental initiatives and motivates end-users and others, and serves as an effective liaison between the project and department managers.
  • 3. Teamwork
  • 3.1. Works as an effective member of the overall project team facilitating open communication and issue resolution.
  • 3.2. Establishes positive relationships with all operational leaders both directly and through established project structures and facilitates open communication and direction setting.
  • 3.3. Promotes effective vendor engagement ensuring input is fully leveraged and issue resolution and support practices meet partnership expectations.
  • 3.4. Promotes a team atmosphere encouraging team member input and optimizing group productivity.
  • 3.5. Demonstrates strong relationships with the end user staff members and provides a model for others to follow.
  • 3.6. Establishes structured communication processes necessary to ensure all objectives of the project are met.

    Other information:

    EDUCATION:

    Bachelor?s degree in Business Administration, Data Analytics, Operations Management or Information Technology related field of study is required.

    EXPERIENCE:

    At least 3 years of project coordination and/or project planning experience preferably in healthcare or management consulting. Experience with data analysis and reporting required. Solid experience in key areas of project management such as scope management, time management, cost management, risk management, lessons learned, and reporting. Experience working with technical and non-technical teams across a broad range of ITS disciplines and business process improvement.

    SPECIAL_SKILLS:

    Ability to work with tight deadlines and high pressurized environments. Good experience with MS suite - Excel, Word, MS Project and PowerPoint. Able to facilitate meetings e.g. risk workshops, lessons learned, peer reviews. Excellent communication skills, confident in dealing with internal and external stakeholders and clients; Able to work from own initiative, and to work with minimal guidance. Proactive, self-driven approach with the ability to drive others to adhere to project practices. Analytical thinking and problem solving abilities. Excellent organizational/ administration skills. Able to manage multiple priorities. Effective prioritization skills and the ability to communicate deadlines to relevant parties. Meticulous attention to detail and a high level of professionalism, tact and diplomacy. Ability to analyze processes and procedures and recommend improvements. Able to follow through delivery of work without step by step instructions.
    ACCOUNTABILITY:

    Must demonstrate excellent organizational ability, communication skills, computer skills and knowledge of quality process improvement processes. Regularly communicates effectively with all levels of health system personnel and external companies using project management skills to drive results and keep teams on task, meeting deadlines and achieving desired outcomes.
    COMPLEXITY:

    Knows and utilizes sound reasoning to support decisions, identify risks and develop mitigation plans to motivate project teams and drive results. Exhibits superior listening skills and ability to analyze content thoroughly and quickly. Is highly engaged and has strong public presentation skills.
    PHYSICAL_DEMAND:

    Must have the ability and own reliable transportation to travel to various sites across the health system.
