Summary:
Performs a wide range of administrative duties required to coordinate the billing, scheduling, and follow up of patients. Handles confidential donor information. Greet clients and screen visitors and vendors appropriately. Provides information to physicians, APRNs, and other hospital personnel as needed. Answers phones, sorts mail and assists other ancillary team members as requested. Assists with event related and educational marketing in a timely manner and works with president council and board members as appropriate.

Responsibilities:
  • 1. Provides a welcome reception patients, visitors and staff.
  • 1.1. Acts as receptionist for Center. Greets and receives visitors in a pleasant and professional manner.
  • 1.2. Screens visitors and notifies appropriate personnel as observed by supervisor.
  • 1.3. Provides information and answers routine inquiries in accordance with established department procedures.
  • 1.4. Answers incoming calls following established Center protocol.
  • 1.5. Screens incoming calls and routes to appropriate personnel or takes messages in accordance with established department procedures.
  • 2. Contributes to overall patient satisfaction and customer satisfaction of the Center.
  • 2.1. Performs patient check-in and registration following established Center guidelines.
  • 2.2. Provides administrative support including generation of bills, check requests, and provides support as required to meet donor needs.
  • 2.3. Updates Physician billing system to ensure timely billing and filing of charts. Photocopies charts as needed.
  • 2.4. Monitors and orders office supplies to maintain inventory at appropriate levels in accordance with established Center guidelines.
  • 2.5. Opens , sorts, screens and distributes mail according to established Center guidelines.
  • 2.6. Schedules patient appointments in a timely fashion.
  • 2.7. Maintains Center calendar, schedules meetings and appointments and makes conference arrangements as required.
  • 2.8. Faxes schedule to Private Referral and picks up materials following established Center guidelines.

    Other information:
    EDUCATION:
    High school diploma or equivalent; bachelors degree preferred
    EXPERIENCE:
    5 years administrative office experience preferably in a medical setting preferred
    SPECIAL_SKILLS:
    Working knowledge of Microsoft Office suite and graphics software - Quark Express, Photoshop, constant contact, excel Strong communication skills and attention to detail . May have to learn the workings and billing process of grants and grantors. Ability to work independently.
