Under the direction of the Program Director, has primary
responsibility for the day-to-day functioning and coordination of the
Diagnostic Radiology residency program.
Organizes and independently prioritizes program office functions and
program-related tasks to support the efforts and duties of the program director
in order to achieve program goals and objectives.

RESPONSIBILITIES

  • Responsible for the
    day-to-day functioning and coordination of the Diagnostic Radiology residency
    training program, and provides assistance to the program director to ensure
    compliance with current standards established by the ACGME for accreditation.
  • Prepares and updates
    all surveys and data pertaining to residents and the residency program for all
    requestors (including ACGME/ADS, NRMP, ABR, ACR, etc.)
  • Possesses knowledge of
    and an ongoing education of the ACGME competencies and milestones for program
    accreditation.
  • Maintains all
    documentation for program accreditation, entering data into the RRC/ACGME (ADS)
    website as requested.
  • Promptly and thoroughly
    prepares materials necessary for accreditation site visits. Coordinates site visit schedule, obtains
    rooms, food, etc. and attends site visit meetings as requested.
  • Insures all resident
    files are orderly and up-to-date with all required information.
  • Registers residents
    for mandatory annual ACR In-training Examination.
  • Coordinates the
    functions of and takes minutes for the Clinical Competency Committee (CCC),
    Program Evaluation Committee (PEC) and any other meetings as requested.
  • Oversees resident
    appointment and promotion process, contracts, licensure and completion of
    controlled substance forms, and application for medical staff privileges for
    new resident appointment.
  • Verifies resident
    training and employment data as needed.
  • Develops and maintains
    data systems management of program.
  • Manages MedHub
    (electronic residency management program) for residency program. Ensures schedules, evaluation tools, faculty
    and resident information is up-to-date.
    Monitors and compiles end-of-rotation, semi-annual and annual evaluation
    reports (performance of residents, faculty, outside lecturers and the program),
    including self-evaluations, 360-degrees evaluations, nursing, staff and patient
    evaluations.
  • Updates and maintains
    residency program information for Bridgeport Hospital GME website, GME Track
    Information System and as needed for American Board of Radiology (ABR) and the
    American College of Radiology (ACR) websites.
  • Monitors and compiles
    resident duty hour compliance reports (by rotation and semi-annually), case log
    procedures and conference attendance.
  • Updates policies and
    procedures, goals and objectives and curriculum, and uploads to MedHub system
    in conjunction with the program director.
  • Develops quarterly and
    annual reports as requested by the program director for the Medical Executive
    Committee and Graduate Medical Education Committee (GMEC).
  • Maintains vacation,
    sick time, and conference time and attendance records for all residents for
    reporting purposes.
  • Coordinates resident
    recruitment sessions.
  • Possesses working
    knowledge of ERAS (Electronic Residency Application Service) web-based
    residency application system).
  • Develops and maintains
    informational materials for resident applicants.
  • Possesses working
    knowledge of National Resident Matching Program (NRMP), including all
    deadlines. Coordinates residency match
    process, including correspondence to invited candidates, scheduling and
    coordinating interview days, coordinating submission of a match list, and other
    match-related functions as needed.
  • Coordinates all
    aspects of individual applicant interviews (invitation, travel, scheduling of
    the interview, correspondence with applicant, evaluations of interviews, and
    meals as needed.
  • Prepares contracts and
    credentialing/appointment paperwork.
  • Possesses knowledge of
    legal issues with regard to employment, visas, and discipline and healthcare
    requirements.
  • Assists the Legal
    Department concerning queries of malpractice; acts as a liaison with Human
    Resources, the Graduate Medical Education (GME) office, academic and clinical
    departments, and hospital and medical staffs.
  • Coordinates new
    resident orientation.
  • Organizes and
    schedules orientation activities for incoming residents to meet with staff,
    managers, human resources and graduate medical education.
  • Develops and presents
    department orientation program presentation to all new residents with program
    director, associate program director and chief residents.
  • Coordinates resident
    and faculty teaching/didactic assignments.
  • Schedules faculty and
    lecturers for resident conferences.
  • Creates, maintains and
    updates conference schedules.
  • Maintains budget, and
    processes check requests for physician lecturer stipends.
  • Works with the Legal
    Department to initiate Physician Services Agreement and obtain Tract Manager
    numbers.
  • Works with Accounts
    Payable to create new physician vendor numbers for physician lecturer stipend
    payments and processing in Infor.
  • Coordinates annual
    subscription renewals with Graduate Medication Education for resident access to
    RadPrimer, STATdx and eAnatomy systems.
  • Schedules residents
    for mandatory monthly ACR RadExam.
    Provides reports to program director for review with residents.
  • Provides resident
    support and serves as a program liaison.
  • Provides
    administrative support for all resident related matters, including fellowship
    applications, letters of recommendation and verification of residency
    education.
  • Serves as a program
    liaison for residents and program director.
  • Provides counseling
    and support to residents as needed.
  • Responds to inquiries
    regarding the residency program.
    Schedules meetings as
    requested, and sends electronic meeting requests and reminders, responsible for
    preparing meeting minutes within 48 hours of a meeting.

    Provides
    administrative support to the Radiology Department Chairman, Associate Director
    and Managers as needed in the absence of the Sr. Administrative Assistant

    EDUCATION: Associate\u2019s
    Degree in Secretarial Science or equivalent education/experience.

    EXPERIENCE: A minimum
    of two (2) years related experience in Medical Education or equivalent.

    SPECIAL SKILLS: Ability
    to maintain databases; proficient in Microsoft Office suites. Knowledge of medical terminology. Excellent interpersonal/human relations
    skills. Excellent verbal, written and
    organizational skills. Ability to maintain
    confidentiality.
