SUMMARY

 

The Manger of Operations for Smilow will be responsible for providing support for all Operations at the Smilow

SFHMC/Trinity oncology locations.

The Manager of Operations is responsible for directing non-clinical staff supporting operations required to deliver

superior interdisciplinary patient and family centered care within the context of the organization 's mission, vision and

values. This position is integral to the leadership team and serves as a liaison among and between SFHMC, YSM

and YNHH. The individual will also oversee and direct all Smilow -related functions and projects performed by YNHH

Departments and support services, including but not limited to Facilities, Engineering, Environmental Services,

Materials Management, Central Sterile, Transport, and Volunteer Services. Working with the Smilow management

team, oversees designated operating expenses and budgets and manages the capital budget process. The

individual in this position will contribute to shaping the entire Smilow Cancer Hospital and Network enterprise and will

be charged with promoting a culture that emphasizes world class patient and family centered care, and that ensures

continuity of care, exquisite communications, cost efficiency, patient/family and provider satisfaction.

Responsibilities

  • 1. Administrative Functions; Operations Management 60%
    • 1.1 Facilities: Participates in facility design and renovation of spaces. Works with Real Estate staff to facilitate their management and oversight of all leases and property management. Maintains up to date records of space allocations at all integrated locations Coordinates all non-clinical and support functions related to program expansion. Ensures that all new space conforms to all applicable regulations Ensures appropriate support provided by operations support coordinators. Serves as the content expert when specific questions need to be answered (i.e. storage of supplies and equipment)
  • 2. Liaison Functions 40%: The individual will oversee and direct all Smilow -related functions and projects performed by YNHH Departments and support services, including but not limited to Facilities, Engineering, Environmental Services, Materials Management, Central Sterile, Transport, and Volunteer Services.
    • 2.1 Environmental Services: Conducts weekly rounding of the North Pavilion with the ABM Manager ensures the following: Discharge Cleaning is being completed within EVS timelines Ensures that 100% of all rooms have been cleaned utilize EVS Dashboard Have Operations Support Coordinator round daily in the North Pavilion and conduct spot checks with Clinical Partners feedback
  • 3. Human Resources Management
    • 3.1 Staff: Oversees the Operations Coordinators for the Smilow Cancer Trinity Network; is responsible to recruit, mentor, and develop new staff as necessary. Facilitates communication between all levels of staff and administrative management, serving as the key link to communicate policies, facilitates the exchange of ideas, and ensure the integration of the goals, vision and mission of Smilow. Leads by example and through collaboration, teamwork, respect and dignity. Motivate and mentor appropriate staff to achieve and ensure effective succession throughout management levels. Provides purpose, direction and motivation to operations staff Creates attainable goals for Ops personnel yearly evaluations and puts them in a position to achieve both institutional and personal goals. Monitors performance throughout the year. Coaches and counsels regarding performance when necessary. Meets with staff at a minimum of quarterly to evaluate performance and make recommendations if performance improvement is needed. Documents all meetings Ensures daily staff coverage for all sites during PTO requests, sick days, FMLA etc. Conducts weekly staff meetings Coordinates with Ops Coordinators and site managers if issues arise and reach an agreement on how to resolve the issue Focuses on planning an implementation of policies and procedures to support the Smilow delivery network Spot checks all sites for EOC readiness

Qualifications

EDUCATION

 

Minimum of 3-5 years in Oncology Bachelor?s Degree required, MSN, or Masters in a health related field preferred

 

EXPERIENCE

 

At least three to five years of experience in an Academic Medical Center with a focus in multi-specialty cancer care. Must have operational experience where responsible for site management, operational improvements, and the ability to manage complex projects and site expansion.

SPECIAL SKILLS

 

The incumbent must demonstrate excellent interpersonal skills and judgment. As well as the ability to work alongside clinical partners in Operations, Site management and expansion. Project Management experience such as Six Sigma, or Lean Management would be beneficial for this role

 

PHYSICAL DEMAND

 

This position requires extensive travel between sites Hartford/Glastonbury/Enfield/New Haven It is expected that additional locations will continually join the network. The incumbent will be required to visit all sites with Operations Support as required.

 

Additional Information

Bachelor Degree Required preferably in a HealthCare related field.  3-5 years oncology experience required
