The Pharmacy Operations Coordinator (POC) actively plans, implements, and monitors pharmacy department functions to ensure regulatory compliance in all aspects of hospital pharmacy. This includes but is not limited to requirements set forth by federal and state agencies such as the Joint Commission, DPH, DEA, USP 795/797/800, Department of Consumer Protection, and Connecticut Drug Control. Responsibilities

  • 1. Serves as pharmacy department?s designated lead accountable for activities related to controlled substance procurement, storage, dispensing, issue resolution, and investigation. 1) Establishes, monitors, and maintains all controlled substance inventory levels in collaboration with pharmacy purchaser and departmental managers. 2) Coordinates delivery and inventory schedules of controlled substances at all LMH locations according to department policies and procedures. 3) Ensures compliance with controlled substance quality assurance report review and provides direct follow up or escalation as necessary. 4) Reviews and maintains all required records for controlled substances according to hospital policy and state and federal regulations 5) Prepares, distributes, and returns controlled substances to or from automated dispensing cabinets (ADC) or directly from CII safe. 6) Coordinates controlled substance returns, expirations, and waste as necessary to maintain appropriate inventory levels. 7) Attends additional training, conferences, or meetings related to controlled substance best practices and process enhancements in collaboration with pharmacy management. 8) Leads resolution of controlled substance issues, including daily collaboration with other health care providers to investigate and resolve controlled substance discrepancies. 9) Collaborates with departmental managers on preventing, detecting, and investigating controlled substance diversion at all LMH locations. 10) Escalates concerns as necessary, but maintains a presence as appropriate until satisfactory resolution of issue is observed.
  • 2. Performs, maintains, and oversees staff orientation and continuing education related to medication preparation and handling. These included but are not limited to controlled substances, sterile/non-sterile/hazardous medication preparation and handling, pharmacy automation equipment, and other initiatives as assigned: 1) Preparation, implementation, and maintenance of staff training competencies. 2) Actively participate in staff developmental projects and health system or hospital meetings and workgroups. 3) Assists with employee access activation and deactivation to pharmacy systems 4) Assists with pharmacy department orientation process for all hospital employees (nursing, etc) 5) Serve as a role model and direct educator to pharmacy staff. 6) Participate in training/education of pharmacists, technicians, residents, student pharmacists, student technicians and volunteers. 7) Provide formal feedback to management for consideration in technician performance reviews. 8) Encourage and stimulate excellence among employees in work habits, area maintenance, mutual respect, customer service and other activities directly or indirectly related to patient care.
  • 3. Provides Leadership and Quality Assurance: 1) Coordinates daily pharmacy department operations to ensure formulary purchasing compliance, medication inventory accessibility, and scanning compliance. 2) Collaborates with pharmacy procurement technician to add/remove medications within pharmacy software systems (Pharmogistics, KitCheck, AccuPrint, MILT, Pyxis ES, Pyxis CII Safe, etc) as dictated by hospital formulary changes. 3) Collaborates with pharmacy procurement technician to manage medication recalls through all available resources. 4) Performs regular audits and follow-up to ensure staff compliance with departmental expectations.
  • 4. Performs staff pharmacy technician and pharmacy procurement technician duties/staffing when necessary.
  • 5. Performs other duties as assigned by pharmacy management team to ensure smooth operation of the department/unit.

Qualifications

EDUCATION


Associate's Degree, Bachelor's Degree strongly preferred


EXPERIENCE


3-5 years of experience as a pharmacy technician, with a strong working knowledge of pharmacy operations required. Prior experience in a hospital pharmacy setting required. Formal or informal leadership experience strongly preferred, as evidenced by project management, procurement experience, committee membership, career ladder advancement, and/or experience as lead technician or coordinator.


LICENSURE


Current registration/licensure or eligible for registration (within 45 days of hire) as a Pharmacy Technician in the state of employment, as outlined by the respective state regulatory agencies. Active National Pharmacy Technician certification required (CPhT); CPhT-Adv credential preferred.


SPECIAL SKILLS


Excellent communication skills. Knowledge of and proficient in the operation and use of computer-based information systems to facilitate all aspects of patient care. Knowledgeable of Quality Improvement processes and capable of implementing concepts. Exercises a professional tone of communication, both verbal and non -verbal, to all staff, both within the department and externally. Must demonstrate expertise/mentorship/project management in the area of application. Proficiency and mastery of various technology utilized in the provision of pharmacy care required. Must have achieved technical expertise in the area of current employment. Exceptional time management, critical thinking, and organizational skills required.
