Under the direction and supervision of the Business Manager for Perioperative Services and in cooperation with the Director of Nursing for Perioperative Services and PSMs, performs a wide range of business functions, communications and coordinate functions to support patient care activities throughout Perioperative Services. This role supports the securement of qualified resources to augment staffing requirements within Perioperative Services. Specific responsibilities to this role include but are not limited to scheduling, training, reports, data collection, traveler billing and working with staff., Performance Management: Evaluating the quality of performance for these job responsibilities will be done based on direct observation, meeting deadlines of work assigned with accuracy and a self-review. Responsibilities

  • 1. Under the direction of the Business Manager for Perioperative Services, facilitates the creation of master schedules for each clinical unit to include clinical nursing, surgical techs, traveler staff and charge responsibilities in Perioperative Services.
  • 2. Based on established guidelines and staff protocols determined by Periop Administration, works with clinical unit management to assign shifts and call schedules.
  • 3. Meets with the PSMs or APSMs on a daily or scheduled basis to keep scheduling master and KRONOS issues up to date
  • 4. Supports the maintenance of payroll on a daily basis, communicating with PSMs/APSMs of Perioperative Services units to ensure accuracy and completion when due; to include examples such as vacation blocks and leave of absence identification.
  • 5. Reviews units staffing grids for Periop Administration and block reports to ensure appropriate master staffing schedule accuracy to prepare in advance for vacancy review needs and utilization of premium charges related to off hour scheduling as well as overtime.
  • 6. Collects and maintains data required for reports as requested.
  • 7. Facilitate periop locker requests for staff new hires, physicians, travelers, medical students, vendors and guests. Manage locker assignment database ensuring data accuracy and timely response to locker requests.

Qualifications

EDUCATION

 

Associate's degree required, Bachelors degree preferred. Business background is preferred.

 

EXPERIENCE

 

Minimum of two years experience in a business office or administrative support role. Experience in staff scheduling is preferred.

 

SPECIAL SKILLS

 

Computer literacy is required. Excellent working knowledge of Excel, including ability to filter, run pivot tables and write macros. Exposure to Microsoft Word and Powerpoint is required. Knowledge and skill with ANSOS and KRONOS or other scheduling and payroll systems is preferred. Strong customer service, organization and communication skills are required, both written and verbal.

 

Additional Information
