SUMMARY

 

The primary responsibility of the Coordinator, Testing Enterprise is to liaise with the Director and Managers of the Testing enterprise to coordinate the development and adoption of efficient logistics for staff and site scheduling, recruitment, onboarding and training programs for external hires and redeployed internal staff, and communications to management teams and stakeholder groups.  Serves as a central hub for operational coordination across the on-site and mobile or remote testing operations.  Establishes mechanisms to receive and triage issues for resolution and develops relationships with core partners in Lab, IT, Supply Chain and Human Resources.

 

Reports to the Director, Testing Enterprise and is responsible for providing leadership support across the Management team and directs the work efforts of the central administrative team.

Qualifications

Assumes primary responsibility for the completeness and accuracy of the staff schedule making sure all Testing sites are adequately staffed.

  • Develops a process to assign full time, part time, and per diem team members as well as redeployed staff from YNHHS departments.
  • Monitors staff assignments and is able to make staffing adjustments as necessary to facilitate patient care needs.
  • Responsible for receiving PTO requests and assigning personnel in the Testing Enterprise to ensure adequate staffing and quality patient care.
  • Develops a process for managing staff call outs and flexes staff to ensure adequate staffing.
  • Ensures the smooth operation of the testing enterprise by consistently assessing and evaluating staff efficiency across the testing sites.

 

Coordinates the hiring, onboarding and training of staff to the Testing Enterprise.

 

  • In partnership with the Managers develops a program for onboarding and training.
  • Develops departmental procedures for tracking team training and orientation.
  • Partners with Talent Acquisition and Hiring Managers to coordinate the recruitment of new staff to the team.
  • Partners with Managers to secure equipment, systems access, supplies or other items needed for new team members.
  • Conducts quarterly reviews of training guidelines with Director and Managers. Makes changes as necessary to ensure training modules are current.

 

Coordinates communications and logistics with mobile teams, site hosts, and the testing teams.

 

  • Communicates needs of the testing teams to the host sites.
  • Gathers information about the sites and communicates information to the staff assigned to the site.
  • Supports the allocation of supplies and equipment used within the testing sites. Works to maintain supply expenses within budget.
  • Supports the development of workflows, protocols and procedures to improve the operations within and amongst the testing teams and the support operations.
  • Responsible for tracking key performance indicators of the department. These expectations include supporting data collection for the Testing dashboard and other operational indicators.
  • Responds to all calls/queries related to YNHHS testing enterprise. Knows when to route complex queries to Testing Manager or Director.
  • In conjunction with the Director and Managers, communicates to staff on a regular basis service expectations as established for all testing locations. Schedules regular staff meetings and assists the development of the meeting agenda.

Additional Information

EDUCATION (number of years and type required to perform the position duties):

High School Diploma or equivalent or AS degree in Biological Sciences or Business Related field of study.

 

EXPERIENCE (number of years and type required to meet an acceptable level of performance):

High School Diploma and 7 years' experience or AS degree in Biological Sciences or Business Related field of study

with 3 years' experience.

 

SPECIAL SKILLS:

Good supervisory, team building, organizational and communication skills. Knowledge of EKG, computer and medical terminology. Knowledge of current Microsoft Office applications to include Word and Excel .

 

ACCOUNTABILITY (how this position is held accountable for such as goals achievement, budget adherence, or

other areas of accountability):

 

Accountable for the scheduling and supervision of assigned staff in all testing enterprise locations. Held

accountable for department's activities on a day to day basis, and reports Director, Testing Enterprise.

 

Responsible for maintaining shift schedules, evaluates staff performance and communications effectively with patients , physicians, other departments and clients as needed. Responsible for accurate record keeping for all testing locations to include regulatory compliance records.

SPECIAL WORKING CONDITIONS AND PHYSICAL DEMAND:

Must have reliable transportation and be able to travel to all testing sites.
