Coordinates and maintains the office functions of the Pain Management Center. Functions as the Admitting Officer and the Health Information coordinator for the Center. Contributes to the maintenance of the physical environment. Assists in identifying and reporting problems within each aspect of responsibilities. Willing to accept responsibility for individual job requirements and performance and contributes to the efficient and effective operations of the unit.

Responsibilities

  • 1. Responsible for maintaining and distributing the schedule ? Must have thorough knowledge of Outlook, Access, Word Processing, Excel and Meditech. ? Schedules procedures and initial/follow-up appointments (refer to separate process for initial consult set-up); revises as changes occur; notifies appropriate departments as changes occur ? Verifies scheduled procedure/appointment and time with patients the day before schedule if registrar is out. ? Tracks initial, follow-up and procedural visits ? Prints and distributes schedule daily
  • 2. Screens, refers or handles all incoming calls to ensure accurate and timely departmental communication is facilitated and that the department is presented in a positive manner. ? Telephone activity is a substantial part of the day: active and voice mail calls ? Answers telephone within three (3)rings in a courteous manner, identifying department, self and position at all times ? Maintains and/or delivers accurate telephone messages to physicians and other staff assuring accurate routing in accordance with departmental procedure. Tracks messages to assure proper response is made by appropriate staff. ? Communicates with appropriate departments to request additional patient information and delivers to physician or staff.
  • 3. Manages billing (for pain center and non-surgical anesthesia delivery) ? Manages and facilitates batching for the Pain Center; assures forms are available, completed appropriately and delivered to Finance (do you still do this' Please describe how you handle Pain Consulting billing)) ? Compiles insurance information and tracks percerification information: distributes information to Registration Services and Finance
  • 4. Functions as Health Information Manager ? Prepares charts for al initial visits ? Manages hardcopy filing ? Maintains Electronic Patient File by scanning forms ? Manages all dictation: collates, obtains signatures and distributes
  • 5. Function as Admitting Officer (in registrars absence) ? Registers patients on arrival for appointments: assures appropriate paper work is completed (COA, ID bands applied) ? Distributes Advanced Directive information ? Distributes and obtains signature for HIPAA Privacy Notification ? Notifies Registration Services on any status changes

Qualifications

EDUCATION


Secretarial School, or two (2) years business college preparatory preferred, knowledge of Medical terminology, typing and advanced computer skills


EXPERIENCE


Prefer Medical office experience and medical terminology
