The IVF Medical Secretary position is responsible for, but not limited to, the greeting and registration of all new/incoming patients, answering and triaging all incoming phone calls, scheduling office appointments and hospital procedures with the surgery and radiology depts, preparing and maintenance of patient charts, physician dictation/transcription, ordering and maintaining office supplies, in addition performs all aspects of physician financial and billing policies and procedures of the dept including collection of copays, charge entry, claims processing, insurance verifications, obtaining pre-auths, insurance appeals, patient financial counseling, daily/monthly financial closing in an accurate and timely fashion. In addition, Medical Secretary is to complete any related and supportive tasks including data collection and reporting as requested by the Director as well as daily photocopying, faxing, collecting and sorting mail, etc. as required to ensure the smooth daily operations and support of the department. The IVF Medical Secretaries will cross cover in all Greenwich Fertility offices.

- 2. Performs diversified secretarial duties to ensure the smooth functioning and organization of the day to day operations of the IVF practice.
- 3. Performs all aspects of patient billing, claims processing, insurance verifications, patient counseling, insurance appeals, and other financial policies and procedures in an accurate and timely fashion.
HS Diploma required. BA Degree preferred.
Minimum 2 years prior medical secretary experience in physician's office. Gynecology or Reproductive Endocrinology (Fertility) experience preferred. Most have CPT/ICD9 coding and billing software prior experience and knowledge.
Excellent communication, patient service, and organizational skills. Must be able to multi-task, be flexible and open minded, and address the concerns and questions of all visitors and staff. Transcription and telephone skills required as well as proficiency in word processing and excel spreadsheet computer experience.
Must be able to sit for long periods of time using a computer and telephone most the day in a windowless, open area accessable to other staff members and patients (non private setting). Frequent bending, reaching, lifting and carrying of charts and office supplies required. Private physician office setting located in both NY and CT requiring cross coverage between offices as scheduled.
